WHAT IT MEANS TO CO-SPONSOR A UPC EVENT:

  • Work with Contracted-Independent Organizations (CIO)/other groups on events to enrich event attendee experiences

  • Co-sponsor with CIOs/other groups to bring unique insight and important messages/themes to the event planning process

  • Provide proper and necessary resources as well as event planning advisement in collaboration with CIOs/other groups to ensure the best quality and turnout for events

  • Build and maintain strong, lasting relationships with CIOs/other groups 

We hope to use our experience as a programming board to mentor and assist other organizations collaboratively to put on events for our student body and external communities. While UPC can provide financial assistance for events, co-sponsorships should fulfill UPC's mission - provide enhanced programming for our diverse audiences, so that we can produce the best quality events. As such, co-sponsorships will allow UPC committees to work directly with an external group to plan an event from start to finish, while also allowing the external group to learn various methods in planning events.

CO-SPONSORSHIP SELECTION CRITERIA:

  1. Events should be open to ALL current UVA students
  2. Events should NOT require a cost for entry
  3. Events should NOT have alcohol present
  4. All Co-Sponsored Events must be registered in the Student Engagement Platform Hoos Involved
  5. Events that solely ask for marketing/promotion, funding, or usage of our space/location will be properly assessed by UPC's Vice Chair of Outreach (VCO) and redirected to the CIO Funding Form if necessary but will not be considered for a co-sponsorship request.
  6. Events MUST have the UPC Logo on any marketing, merchandise, and other public material

 

PLEASE NOTE:  UPC will assist with marketing/promotion/funding of an event, should the event's goals demonstrate the capacity and ability to benefit the University community.

CO-SPONSORSHIP REVIEW PROCESS

  • CIOs/organizations send in co-sponsorship request forms within these established cycle timelines. The last date is the time when the corresponding cycle closes. Please apply for a co-sponsorship in the cycle corresponding to your event semester. For example, requests for the fall semester must be made in the first cycle. Requests for the spring semester in the fall cycle will not be considered.
    • First Cycle/Fall Semester Co-Sponsorship Requests:  June 24th to August 23rd, 2024 @ 11:59 PM 

    • Second Cycle/Spring Semester Co-Sponsorship Requests: Dec 1st to Jan 20th, 2025 @ 11:59 PM 

  • UPC’s Vice Chair of Outreach (VCO) will review ALL co-sponsorship requests and send emails regarding the status of the co-sponsorship request.

    • If the initial co-sponsorship request has been acceptedthis does not guarantee UPC will work with the organization, but it provides the VCO the opportunity to send requests that fulfill UPC's mission statement to the various UPC committees that are best fit to assist in the co-sponsored event.
    • If the initial co-sponsorship request has not been accepted, you will be redirected to the CIO Funding Form for financial assistance if necessary.
  • UPC committees will then decide whether the co-sponsorship fits their goals, event schedule, mission statement, etc, or not

  • Should UPC committees have more questions/inquiries, accept, or decline the request, UPC's VCO will reach out to the co-sponsorship request's point of contact (POC) in response to inform the POC of UPC's decision. 

  • If UPC committees decline the co-sponsorship request,  you will be redirected to the CIO Funding Form for financial assistance if necessary.

  • During the process, please check your inbox, spam, or junk for emails from the VCO regarding your application status, further questions, etc.

  • In the case your co-sponsorship request has been accepted, the VCO will work with the UPC Committee Directors and you to establish an initial line of communication and to sign any forms.
